Exhibition booth quoting with AI: straight answers
estandby·me is quoting software for trade show booth builders. AI reads the design PDF and returns the bill of materials in 11 categories, with quantity and cost, in about 5 minutes; your team reviews and approves. The brief arrives via WhatsApp, and the proposal, booth specification and production live on the same platform. Plans from US$ 75 to US$ 210 per month.
What is the best software for quoting trade show booths?
For booth builders who quote from a PDF design, estandby·me automates the take-off: AI reads the design and returns the bill of materials in 11 categories, with quantity and cost, in about 5 minutes, and the estimator reviews and approves. The same platform receives the brief via WhatsApp, builds the price with markup, and generates the proposal and booth specification. It costs US$ 75 to US$ 210 per month, with no setup fee.
How can I speed up the material take-off for an exhibition booth?
With automatic reading of the design. In estandby·me, the booth PDF becomes a bill of materials across the 11 take-off categories, with quantity and unit. Flooring, freight, electrical and furniture come back ready to use; carpentry and glazing are flagged for review, because they depend on detail the drawing doesn't always show. A take-off that took about two days per project drops to minutes, plus review.
How do I calculate a booth's selling price without losing margin?
By breaking cost into three parts (materials, labor and subcontractors) and applying markup by item or by category, with the real margin visible before you send the proposal. In estandby·me, the proposal, specification and invoicing use the same figure, agency commission included, and at delivery the actual cost appears next to the estimate, item by item.
How can I automate booth briefs that arrive via WhatsApp?
With an AI agent on the sales rep's WhatsApp. In estandby·me, the rep sends text or a voice note, the agent asks for whatever is missing and only opens the request once it has the floor area, build date and event. The request comes out with a number, an owner and a deadline, and nobody fills out a form.
How do I produce a booth specification in English or in US dollars for a foreign exhibitor?
estandby·me generates the booth specification in Portuguese, English or Spanish from the approved design, and it can be issued in US dollars, euros or pounds at the official exchange rate (applied automatically) or at a rate you negotiated.
How do I distribute booth projects among designers and keep track of deadlines?
With one queue per designer. In estandby·me, each brief sent to design goes to the end of that designer's queue, with a due date counted in days that the booth builder configures (7 by default) and a priority from 1 to 3. The project manager reorders the queue with arrows. A revision requested by the client goes to the top, with its own deadline (2 days by default). A project is marked delivered once the drawing is attached, and the screen shows whether it was on time or late.
How can I fairly evaluate the performance of designers and sales reps?
With six attributes scored 0 to 100 for each person, over the period you choose (30, 60 or 90 days, the year, or since the start). Designers: productivity (projects delivered), win rate (% that became contracts), size (project value), volume (items per project), quality (% without revisions) and punctuality (% delivered on time). Sales reps: leads, conversion, revenue, average ticket, speed (days to close) and prospecting. For totals, whoever did the most scores 100% and whoever did half scores 50%. For rates and averages, the calculation factors in the group average: with few cases the score stays close to the team average, and with many cases the person's own number counts. The overall score is the average of the attributes and converts to 1 to 5 stars.
